Video tutorial: how to submit a manuscript

CC Roman Hasanov 2026

Author Guidelines

These guidelines apply to manuscripts submitted to Proceedings of Azerbaijan High Technical Educational Institutions. Before submission, authors should ensure that their manuscript falls within the journal's Aims and Scope and complies with the requirements described in the journal's Policies and Ethics section.

Authors are responsible for ensuring that all required declarations, permissions, ethical statements, and submission materials are complete and accurate before submission.

A manuscript submitted to the journal must not have been previously published or be under consideration by another publication, either in full or in part, in English or any other language.

Materials previously published or presented at conferences, symposia, or academic seminars may be considered provided that they have been substantially revised. When submitting such a manuscript, the authors must inform the editorial office where and in what form the material was previously presented.

Article Template

Manuscripts must be prepared in the journal's Word template. Keep its layout, headings and reference style, replace the sample text with your own, and upload the completed file. Download template (DOCX, 1.7 MB)

Language

The journal publishes manuscripts in English only. Authors are responsible for ensuring that manuscripts are written clearly, accurately, and in appropriate academic English before submission.

The journal may copy edit accepted manuscripts before publication. However, authors should not rely on copy editing to correct extensive language, formatting, or structural problems.

Before You Submit

Before submitting a manuscript, authors should work through the Submission Preparation Checklist shown further down this page and confirm that every item has been met.

Manuscripts that do not meet these requirements may be returned to the authors without review.

How to Submit

Authors should submit their manuscripts in Microsoft Word format, prepared in accordance with the journal's manuscript template.

Before submission, authors must ensure that all required metadata, information about all authors, declarations, and supplementary files have been correctly completed and uploaded to the system.

Manuscripts must be submitted exclusively through the journal's online submission system. Authors must register on the journal's website, log in to their accounts, and upload their manuscripts via the Submit an Article section.

Manuscripts submitted by email will not be considered.

Preparing the Manuscript

Manuscripts must be prepared using the journal's article template (Microsoft Word).

Title Page

Only a concise and informative title should be included.

Abstract

The abstract should be 150 to 250 words and structured with a background, a main body of the abstract, and a short conclusion. Please minimize the use of abbreviations and do not cite references in the abstract.

Length of a Manuscript

The manuscript should be between 6 and 8 pages, including endnotes and references. In exceptional cases, the Editor-in-Chief may approve a longer manuscript.

Keywords

4 to 6 keywords should be provided in the article.

Background

The Background section should explain the background to the article, its aims, a summary of a search of the existing literature, and the issue under discussion.

Main Text

The text should be single-spaced and use a 12-point font, following the article template.

Figures

All figures should be cited in the text and numbered consecutively with Arabic numerals. The preferred formats for figures are PNG and JPEG. All figures should be placed within the text at the appropriate points, rather than at the end.

Tables

All tables should be cited in the text and numbered consecutively with Arabic numerals. All tables should be placed within the text at the appropriate points, rather than at the end.

Conclusions

This should state clearly the main conclusions and include an explanation of their relevance or importance to the field.

Declaration Statements

New submissions must include the declaration statements listed below, where applicable. These requirements apply to manuscripts submitted under the journal's current publication policy framework.

Funding

Authors must include a funding statement in all manuscripts. If no funding was received, authors may use:

"The authors received no specific funding for this work."

Competing Interests

Authors must include a competing interests statement in all manuscripts. If no competing interests exist, authors may use:

"The authors declare no competing interests."

Author Contributions

Multi-author manuscripts must include an author contribution statement describing the individual contributions of each author.

Example:

"Anar Aliyev developed the research concept and methodology. Gulnara Mammadova collected the data and conducted the statistical analysis. Elchin Hasanov developed the software and prepared the visualizations. All authors contributed to the discussion of the results and revision of the manuscript and approved its final version."

The CRediT Contributor Roles Taxonomy is recommended for describing each author's contribution.

Data Availability

Authors must include a Data Availability Statement in all manuscripts. The statement should indicate whether data, code, computational materials, or other research materials are available and, where applicable, explain how they can be accessed.

For purely theoretical work, authors may state:

"No datasets were generated or analyzed during the preparation of this manuscript."

Alternatively:

"Data availability is not applicable to this article, as no data were generated or analyzed."

Use of AI or AI-Assisted Technologies

Authors must disclose any material use of generative artificial intelligence or AI-assisted technologies in the preparation of the manuscript, including their use in text generation, analysis, figures, code, or other substantive content.

Standard tools used solely for spelling, grammar, formatting, or reference management that do not generate substantive content do not require disclosure.

Ethics Approval and Consent

Where applicable, manuscripts involving human participants, animals, personal data, hazardous materials, or regulated research activities must include appropriate ethics approval, informed consent, consent for publication, and privacy-protection statements.

References

When citing sources in the text of the manuscript, indicate the corresponding reference number in square brackets, for example: [1], [2], [3].

At least 70% of the references should have been published within the last five years, and the reference list must be provided in English.

Authors are responsible for ensuring the accuracy, completeness, and consistency of all references.

Sample reference formats:

  • Author, Title of the Paper, International Journal of Science and Technology, Vol. X, No. X, 200X, pp. XXX-XXX. DOI: XXX
  • Author, Title of the Book, Publishing House, 200X.

Figures, Tables, and Supplementary Materials

Figures, graphs, and tables must be numbered consecutively: Figure 1, Figure 2; Graph 1, Graph 2; Table 1, Table 2, and so on. Each figure, graph, and table must have a title, and the source must be indicated below it. All figures, graphs, and tables must be cited in the main text.

Titles, text, and data within figures, graphs, and tables must be formatted in 10-point Times New Roman. All graphical materials must be of sufficient quality for publication.

Supplementary materials should be clearly labeled and appropriately referenced in the manuscript.

Authors are responsible for obtaining the necessary permissions for third-party material and providing appropriate attribution. Any figure, table, image, or other material that has been adapted or reproduced from another source must identify the original source and comply with applicable copyright, licensing, and permission requirements.

Peer Review

Submitted manuscripts are first evaluated by an editor to determine whether they are appropriate for the journal in terms of scope, scientific quality, originality, and basic submission requirements.

Manuscripts that pass the initial editorial assessment are normally sent to two or three independent referees for evaluation.

The journal uses a single-blind peer review model, under which the identities of reviewers are not disclosed to authors.

The final decision regarding publication is made by the Editor-in-Chief, taking into consideration the recommendations of the reviewers and the editorial assessment.

Copy Editing and Proofs

The journal may copy edit accepted manuscripts to prepare them for final publication. Authors are expected to prepare manuscripts carefully before submission to minimize corrections during the production and proofing stages.

Proofs will normally be sent to the corresponding author for final checking. Authors should return corrected proofs to the Editorial Office within five days of receipt.

At the proof stage, authors should limit corrections to errors introduced during production or essential factual or typographical corrections.

Publication and Version of Record

Following acceptance and completion of the production process, articles are published online as the Version of Record.

The published Version of Record contains the final article metadata, bibliographic information, and DOI, where applicable.

Authors and readers should cite the final published Version of Record using the article's assigned DOI and complete bibliographic details.
